BOD vote: Landscaping Contract – Owner’s Mowing Responsibilities Changed

Dear Neighbors,

Hidden Valley Association, Inc. has again contracted Oakes Landscaping to perform landscaping and mowing tasks in the neighborhood.  The final contracted amount with tax  for mowing, mulching with weed preventer, and weed control in the front mulched areas will be presented in the meeting minutes.  The quotes were presented at the April BOD meeting.  However, because the board did not have a quorum present due to travel and sickness, a vote was conducted via email with unanimous approval.

In an effort to reduce costs to the association and better utilize the collective efforts of our neighbors, the board is placing the responsibility of mowing the strip of grass between the sidewalk and road and trimming around the light posts on the individual neighbors’ homes.  This represents a small increase in the work required of neighbors already mowing their own lawn.  However, it reduces the costs of the association by over $500, a 25% reduction in mowing expenditures, thus helping to keep quarterly assessments low.  The Board appreciates every neighbor’s efforts with regard to this change.

The Board also discussed the final draft for the upcoming rules, regulations, and enforcement procedure.  This will be posted to the website soon and another survey will be available to submit comment on the final draft.  At the May BOD meeting, the board will vote decide on a final document to be voted on by the Association members at the June BOD meeting.

April BOD Meeting Materials Uploaded: Agenda / Draft Rules and Regs

Dear Neighbors,

All the materials for the April BOD meeting have now been uploaded to the webpage. This includes the agenda, financials, and draft rules and regs and an enforcement procedure to base our discussions on.

Also remember to complete the Rules and Regs Survey if you have not done so already.

These rules and regulations have the greatest effect on our experiences living within Hidden Valley.  Your participation is critical to ensure the rules and regulations represent are successful.

Lastly, we will be voting on a contract for mowing and landscaping services.

Online Bill Payment: Now Available

Dear Neighbors,

The Board of Directors is happy to announce a new service available to our neighbors: Online bill payment.  Each invoice sent will include a custom internet address to quickly and easily pay your quarterly assessment online.  This link will be printed on mailed invoices and listed as a hyperlink on emailed invoices for those that have signed up for electronic billing.  This service will be able to accept credit cards, debit cards, and electronic check transfers to allow you the flexibility to pay as you wish; even earning points on credit card reward programs.

At any time, you can also go to https://ipn.intuit.com/pay/HiddenValley to send us your payment. This link will always be available on our web page at a tab listed above.  You are not required to create an account with this service, although you can to store your information for easier payments in the future.  You can use this service once or many times and even have the ability to set up recurring payments.  We are also able to accept credit card payments in person upon special request.

There is a $6 convenience fee associated with each online payment.  This will be listed on each invoice as a separate line item so it is automatically included when you use the custom link.  You are not required to include this fee if you mail your payment by check.

Your payment information is private and secure with Intuit Quikbooks, the company behind our accounting software. It is not shared with Hidden Valley Association, Inc. at any time.  If you have any questions, please feel free to contact the Board.

Meeting Results: Budget and Bylaws Approved: New Assessment $176

Dear Neighbors,

First and foremost, thank you to all who have stayed involved by reading the website, filling out the survey, voting online, and coming to the meeting tonight.  The bylaws were approved and the budget has been adopted.

The bylaws will help guide the board and our members on the operation of the Association.  They will also provide a firm legal standing for the business that the Association conducts with respect to assessment collection and rules enforcement.

The budget has been adopted.  A majority of those who voted, voted in favor of the budget.  Therefore a majority of homeowners did not reject the budget to stop its adoption.  The new quarterly common expense assessment is $176 and will begin April 1, 2014.  Please pay attention to your upcoming invoices and remember to adjust any auto-payments you may have established.

For those that have not completed the Rules and Regulations Survey, please still fill it out at the link under the “Rules and Regs” tab.  We need and value your input.

Last Chance to Vote: Need To Reach Quorum (20 votes)

Dear Neighbors,

Today is the last day to vote on the passage of the budget and the approval of the Association’s bylaws.  It is required that we reach quorum of the association (at least 20 votes) to pass the bylaws.  We have not reached that threshold yet.  Please take the 1-2 minutes now to complete the online proxy at the link under the voting tab (it works on computers and smart phones):

Online Proxy: March 12 Budget and Bylaw Vote

Dear Neighbors,

I’m trying to take advantage of this new online survey/voting tool, so I’ve added the upcoming Budget and Bylaw Votes to the mix.  If you already submitted a proxy via email, you do not need to resubmit a proxy. Submitting a proxy early will make the process smoother and the meetings shorter.  You are allowed to change your vote at the meeting if you have already submitted a proxy.

Electronic Billing Sign-up

Dear Neighbors,

In an effort to reduce costs and stream-line our accounting processes, we are establishing electronic billing.  Every three months you will receive an email with your invoice attached.    This will be make it more convenient to access your bills and will include links to optional online payment services in the near future.  By completing the form at the link on the electronic billing tab above , you will be authorizing Hidden Valley Association, Inc. to send any invoices/statements to the email address of your choice.  Please consider signing up.

Quick Survey: Hidden Valley Rules and Regulations

Dear Neighbors,

Beginning at the March Board of Directors’ meeting, the Board will begin formulating a new set of rules and regulations.  The input of the Association members is required to arrive at an end result that best depicts the way we wish to live together as neighbors in Hidden Valley.  Please take the time to complete a quick multiple choice survey and provide any feedback you think will be helpful.  The survey can be found under the “rules and regs” tab above.

2014 Budget and Bylaws Voting: Vote Early by Email

Dear Neighbors,
The Association will be hosting two votes at the March Board of Directors’ meeting on March 12th at 7pm at Platt High School.  The votes are on the approval of the 2014 Budget and associated common expenses as well as the approval of the Association’s Bylaws.  The pertinent information is available on our website under the financials and documents tabs.  The 2014 budget will be subjected to a vote that will require a majority of the entire Association membership to reject the budget, otherwise it will be considered approved.  The Association Bylaws will be subjected to a vote that will require a majority of quorum of the Association to vote in favor for them to be considered approved.
Households may vote in person at the meeting or submit a proxy.  Proxies may be submitted electronically from the email address registered with the Association.  Simply reply to that email with a clear indication of your vote for each question before March 12, 2014, at 5pm.  Households may also print the respective proxy forms and give them to a neighbor or director to be presented at the March 12th meeting.
